Booking & Cancellation Policy

1. About this policy
This policy explains how bookings, sessions and cancellations work for services provided by Brooke Odun Ltd, trading as Brooke Odun John (company number 16437525, registered office Suite A, 82 James Carter Road, Mildenhall, IP28 7DE, United Kingdom). It forms part of our Terms of Service and should be read with our Refunds, Shipping & Returns Policy. Nothing in this policy removes your statutory rights.

2. Discovery calls
Discovery calls are complimentary (free).
- A discovery call is required before purchase of personalised fitness, nutrition or combined coaching programmes: F3 Fitness Coaching, Nutrition Coaching and The Complete Transformation.
- All new personal training clients must complete a discovery call before their first session. Following purchase, new clients receive instructions to arrange the call.
- Returning clients do not ordinarily need to repeat it.
3. Personalised coaching programmes
- After the discovery call, we may issue a private purchase link.
- You must complete the onboarding questionnaire and any other requested assessments.
- We aim to deliver personalised plans within 10 working days after all required information has been received.
- A coaching programme starts when the personalised plan is delivered, unless expressly agreed otherwise in writing.
- Check-ins are weekly for packages that include them.
- Complimentary Virtual PT sessions included in a coaching package must be used within that package's coaching term (one month or three months) and cannot be exchanged for cash.
- Changes outside the agreed package scope may incur an additional fee with prior agreement.
- Pauses or extensions are not automatic and must be agreed in writing, with medical or exceptional circumstances considered case by case.
We do not offer discretionary refunds once personalised programme preparation has begun, except where required by law or where we agree an exceptional circumstance in writing. This does not cancel the statutory 14-day cooling-off right where it applies (see section 8).
4. Virtual Personal Training
Booking
Virtual PT sessions and packages can be purchased and booked online at published prices. Single-session scheduling and any taster conditions are provided at booking.
Cancelling and rescheduling
Give at least 24 hours' notice to cancel or reschedule a booked session. Timely cancellations may be rebooked within the package validity period, subject to availability. Sessions cancelled with less than 24 hours' notice or missed without notice (no-shows) may be counted as used, except where applicable law requires otherwise or we agree an exception.
If we cancel
If we cancel a session, we will offer a suitable alternative or an appropriate refund or remedy. Sessions cannot be guaranteed free of technical interruption; if we cause a material interruption, we will offer an appropriate rescheduling or remedy.
Package validity
Package validity begins on the first completed session:

Validity periods are subject to statutory rights and reasonable adjustments where required by law. Unused sessions do not automatically qualify for discretionary refunds after a valid cooling-off period, but statutory rights and any agreed exceptional circumstances remain applicable.
Your set-up
You are responsible for providing a safe exercise space, suitable equipment and reliable internet.
5. In-Person PT and The Milestone Edit
In-Person Personal Training and The Milestone Edit (The Bridal Edit, The Postnatal Edit and The Performance Edit) are offered by enquiry and quoted individually in writing. Before payment, we will set out the scope, fees, venue, availability, travel costs, any deposit, timelines, rescheduling, any third-party arrangements and the applicable cancellation terms.
We will not treat deposits as automatically forfeited regardless of loss; any cancellation charges must be fair and legally supportable. Statutory rights continue to apply. You must comply with venue rules and obtain necessary medical clearance.
6. Results Coaching Session
The Results Coaching Session costs £50 and takes place as a video consultation. Please give at least 24 hours' notice if you need to reschedule. The session is educational and not diagnostic.
7. Free masterclasses
- Registration is free. It does not create an entitlement to an individual coaching service.
- Joining details are emailed 48 hours before the event and again 1 hour before it starts.
- We may reasonably change or cancel an event, and if we do we will tell everyone who has registered.
- Speaking and private engagements are governed by an agreed written proposal or contract.
8. Your statutory rights
The 24-hour appointment rule and the other booking rules above are separate from, and do not remove, your statutory cancellation rights.
For most services bought online, you may cancel without giving a reason within 14 days after the contract is made (the cooling-off period). If you expressly request a service to start within the cancellation period and then validly cancel, a proportionate charge may be payable for services already supplied, but only where the legal requirements for that charge have been satisfied. If services have been fully performed within the period, cancellation rights may end only where the required express request and acknowledgement were obtained.
Where we fail to supply a service with reasonable care and skill, you retain the applicable legal remedies. Full details, including how to cancel and how refunds are made, are in our Refunds, Shipping & Returns Policy.
